S235 Debtor Search Request

 

Purposes:

 

This screen allows MIMS users to request to have external databases searched to obtain debtor information.

 

Prerequisites:

 

1.       MIMS user must have applicable security authorization to view files.

            The following groups have access to this screen:

 

·         Call Center Agent

·         Collections Agent (RGPU, File Intervention)

·         Compliance 4 Agent

·         Compliance 5 Agent

·         MEP Senior Agent

·         Registration

·         ISO Agent

·         ISO Support Agent

·         SIU Agent

·         Supervisor/Team Lead

 

Helpful Hints:

 

·         CPIC, JOIN and COMIS searches require SIU approval. 

·         Credit Bureau searches require management approval, before the search is conducted.

·         Cannot search provisional files.

·         Searches are allowed on incomplete and actives files.  Searches cannot be completed on closed files.

·         3 – Yr all, Motor Vehicles, Alberta Health Care, Credit Bureau, Federal Locate, COMIS, JOIN, CPIC, Land Titles may all be requested at the same time. (NOTE: COMIS, CPIC, JOIN require approval, all other searches will be followed up on by way of work tasks.)

·         Company Name, Out of Province Motor Vehicles, and Trade Name searches must be all done individually.

Procedure:

 

1.       Enter the desired MEP file number in the ‘File Number’ field.

2.       Click the ‘Get’ button to retrieve the file.

3.       Under the heading Registration ‘Search Tools’, select appropriate searches.

4.       Enter required comments or special instructions into the ‘Special Instructions’ field if required. See field description below for further information.

5.       Enter general remarks regarding the search request into the ‘Remarks’ field.

6.       Click the ‘Request’ button to finalize this process. The system will take you to the ‘S85 Collection Tool History’ screen with the new search(es) displayed within the list.

Check the boxes of the tools you wish to search by.

For tools requiring special instructions only one can be selected per request.  See ‘Special Instructions’ description below for details.

COMIS, CPIC and JOIN searches require that the file must be at least Compliance Level 4.

Special Instructions

Mandatory if search tools ‘Out of Province Motor Vehicle, ‘Company Name’ and ‘Trade Name’ are selected.

w For ‘Out of Province Vehicle’ searches, specify the province in this field.
w Out of Province Motor Vehicles and/or Motor Vehicles’ searches
    require a date of birth.

Multiple searches cannot be requested if ‘Special Instructions’ have     been entered.

Enter any relevant comments regarding the Debtor Search.

A Credit Bureau search requires a debtor SIN.

Enter the Debtor’s SIN number in the Special Instructions field.
